We should look into tools for better event scheduling.

I'm envisioning something where:

Each Player indicates the time and days of week they can be available for events, and specify their local timezones.

When someone is scheduling an event, they specific a duration, and based on player availability times, possible times to hold the event are listed. These times would also list who is available to join the event at that time.

When the event is scheduled, some form of notification is sent to players (email, etc).

This would be much more awesome than the current method of just polling people to see when we should hold an event, and manually working out timezone differences.

Something like this must exist. maybe we can leverage an existing opensource php/mysql implementation.

Steam is pretty good at scheduling events to show event times in the users time zone. It also keeps you from forgetting I find.
